Scheduling Software Pricing Compared: Per-Seat vs Flat for Teams of 5, 10 and 25

Scheduling tools look similar on a pricing page and very different on an invoice. The reason is the pricing model. Some charge for every person, some charge by tier, and some charge one price for the team.

This post compares four tools on the plan a team needs for shared scheduling. Competitor prices are from each vendor's own pricing page, read in October 2026, at the yearly-billed rate. We make TimeFlux, so treat this as a vendor's comparison and check the figures yourself.

Three pricing models

  • Per seat. You pay for each person. Calendly and Cal.com work this way. The price is easy to understand and grows in a straight line with headcount.
  • Per tier. You pay for a band of capacity. Acuity Scheduling works this way: each plan covers up to a set number of calendars.
  • Flat. You pay one price for the team. TimeFlux works this way.

The plan each tool needs for team scheduling

  • Calendly Teams, $16 per seat per month. This is the plan with round-robin scheduling. The cheaper Standard plan at $10 a seat has collective events but not round-robin.
  • Cal.com Teams, $12 per user per month. Round-robin and collective events start here. The free plan is for one user.
  • Acuity Scheduling Standard, $27 a month, covers up to 6 calendars. Premium, $49 a month, covers up to 36. Acuity has no free plan, only a 7-day trial.
  • TimeFlux Teams, $15 a month for the workspace, with round-robin events, collective events and team pages.

What a 5-person team pays per month

  • Calendly Teams: $80
  • Cal.com Teams: $60
  • Acuity Standard: $27
  • TimeFlux Teams: $15

What a 10-person team pays per month

  • Calendly Teams: $160
  • Cal.com Teams: $120
  • Acuity Premium: $49 (Standard stops at 6 calendars)
  • TimeFlux Teams: $15

What a 25-person team pays per month

  • Calendly Teams: $400
  • Cal.com Teams: $300
  • Acuity Premium: $49
  • TimeFlux Teams: $15

Over a year, the 25-person figures are $4,800 for Calendly Teams, $3,600 for Cal.com Teams, $588 for Acuity Premium and $180 for TimeFlux Teams.

Price is not the only difference

The cheapest tool is the wrong choice if it lacks something you depend on. The four tools are built for different jobs.

  • Calendly supports Google and Microsoft calendars and has routing forms on its Teams plan. It is the safe choice for a company on Microsoft 365.
  • Cal.com has the most generous free plan for one person, with unlimited event types, and can be self-hosted.
  • Acuity Scheduling is built for selling appointments. Every plan takes payment at booking, and the Standard and Premium plans sell appointment packages.
  • TimeFlux is built for booking meetings as a team: round-robin, collective events, screening questions and a contact CRM. It syncs with Google Calendar or Outlook, creates Zoom meetings, and does not take payment from invitees.

How to choose

  1. Start with your calendar. If your team is on Microsoft 365, rule out any tool that only syncs with Google.
  2. Decide whether the appointment is the product. If clients pay when they book, you need a tool with payments, such as Acuity.
  3. Count the people in the rotation. One person can stay on a free plan almost anywhere. From two people up, per-seat pricing starts to matter.
  4. Multiply by twelve. Compare yearly totals, not monthly per-seat prices.

Where flat pricing wins

Flat pricing costs less whenever the team is the unit of work: a support queue, a sales team sharing demos, a hiring panel. Adding a person to the rotation should not need a budget conversation.

If that describes your team, compare the details on our pages for Calendly, Cal.com and Acuity Scheduling, or read how team scheduling works in TimeFlux.
